Who we are

What we collect

Information you give us. When you fill in a contact or free-trial form, we collect what you type into it — typically your name, email address, phone number and your message. If you join the academy, we also collect the details needed to run a membership, including emergency contact information and, for children, a parent or guardian’s details.

Information collected automatically. Like most websites, our web server keeps standard logs: IP address, browser type, the pages requested and the time of the request. These are used to keep the site running, troubleshoot problems and block malicious traffic.

Cookies. We use cookies that are necessary for the site to work, including page caching and login sessions for site administrators. We do not run advertising cookies or cross-site tracking on this website.

Why we collect it

To answer your enquiry, book you into a trial class, administer memberships and payments, contact you about schedule changes or closures, keep proper attendance and safety records, and keep the website secure. We do not use your information for anything you would not reasonably expect from a jiu-jitsu academy you contacted.

Membership and booking software

Memberships, sign-ups, class bookings and payments are handled through our gym management provider. When you sign up or book through a form on this site, the information you enter is submitted to that provider and handled under their privacy terms as well as this policy. We never see or store full payment card numbers ourselves.

Who we share it with

We do not sell, rent or trade your personal information. We share it only with the service providers who make the academy run — our web host, our email provider and our membership and payment software — and only as far as they need it to do that job. We may also disclose information where the law requires it.

How long we keep it

Enquiries that do not turn into memberships are kept while we are still in contact with you and deleted once they are no longer needed. Membership and payment records are kept for as long as required for accounting, tax and insurance purposes, then deleted.

Children

Our kids programs are for children aged 3 and up, but this website is not aimed at children. Information about a child should be provided by a parent or guardian, and a parent or guardian can ask to see, correct or delete it at any time using the contact details above.

Your choices and rights

You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Email ironwolfbjj@gmail.com and we will respond within a reasonable time. If you are not satisfied with how we have handled your information, you can contact the Office of the Privacy Commissioner of Canada.

Changes to this policy

If we change how we handle personal information, we will update this page and change the date at the top.
